  • VISA AND INVITATION LETTER

    Participants coming from outside the Schengen Area wishing to enter France must be able to submit statutory documents at the border concerning the reasons for their stay, their means of support and accommodation arrangements.
     
    A visa is generally required, in the absence of a waiver. For general information and for preparing, submitting and tracking your visa application, log on to France-Visas (https://france-visas.gouv.fr), France’s official visa site, with all the information you need to guide you through the process and help you every step of the way.
    Waiting times for appointments and for processing applications will vary depending on your nationality and on the time of the year. Participants are advised to check whether they will need a visa and submit any visa application well in advance of the conference.
     
    Participants requiring a visa may request an official invitation letter through the registration process. Invitation letters will be issued once the registration has been paid, and exclusively for the purpose of supporting visa applications and do not imply any financial support from the conference organizers.

  • ACCOMMODATION

    Lyon offers a wide range of accommodation options to suit all budgets, from international hotel chains and boutique hotels to serviced apartments, hostels, and student residences.
    A large number of hotels are located within walking distance of the Lyon Convention Centre at the Cité Internationale, while many additional options can be reached within a few minutes by public transport from the city centre and surrounding districts.
    To facilitate participants' stay, the conference organizers are working with selected hotels to secure room blocks and preferential rates for conference attendees. Information on partner hotels, booking procedures, and negotiated rates will be included in the registration process.
     
     
    Student Accommodation
    EUROMAR-ISMAR 2027 is committed to making participation accessible to students and early-career researchers.
    In addition to budget hotels and youth hostels available throughout the city, we are exploring affordable accommodation options through the CROUS (French Regional Student Housing Service), whose university residences are largely available during the summer period. These residences offer simple and affordable rooms with private bathrooms and shared kitchen facilities, located in several areas of Lyon and well connected to the conference venue by public transport.
    Further information regarding student accommodation and booking procedures will be provided as soon as arrangements are confirmed.
  • DATA PROCESSING (GDPR)

    The information that you will enter into the registration form will be subject to computer processing by Insight Outside. It is processed by computer for the organizers in order to manage the logistic organisation of the Euromar-Ismar 2027 Conference.

    The list of recipients of the data will be strictly limited to the following suppliers of the conference:

    Photography
    As in-person participants of Euromar-Ismar 2027, the registered delegates authorize the organizers to use any photograph or video taken during the congress and to make it available on the congress website and on partners medias ; to the express exclusion of operations outside the context of the communication activities related to the event, and any use likely to damage reputation or any other medium of pornographic, racist, xenophobic character or any other prejudicial exploitation.
  • CANCELLATION POLICY

    Delegates who find themselves unable to attend Euromar-Ismar 2027after submitting a registration form are most welcome to nominate a substitute. All substitutions and cancellations should be notified in writing by e-mail to Insight Outside at registration@euroismar2027.org
     - Cancellations until April 30, 2027: 50€ for administrative costs
    - Cancellations from May 1, 2027 to June 1, 2027: 50% penalty
    - Cancellations after June 1, 2027: no refund - 100% penalty
     
    Exclusions
    - If you do not get your VISA, and you can prove it through official documents, we will refund 100% of your fees (except 50€ for administrative costs and banking fees for the refunding), should we receive the notification at least 30 days prior to the conference.
    - Conference organizers cannot accept refund requests from the conference delegates that result from cancelled flights and/or natural disasters/calamities.
